This Privacy Policy explains how KapService LLC (“Kap Services”, “we”, “us”) handles personal information collected through this website. It applies to this website only, and not to any separate service agreement you may sign with us.
Information we collect
We collect only the information you choose to send us. When you submit the service request form or the contact form, that is:
- Your name
- Your phone number and email address, as you provide them
- Your preferred language and preferred contact method
- The service you are asking about and how soon you need help
- The description or message you write
Our hosting provider may also record standard technical information such as IP address, browser type, and the time of a request. We use a limited record of recent submission times, associated with the requesting network address, to stop the forms from being abused by automated submissions.
This website does not use advertising cookies and does not run third-party analytics or tracking scripts.
How we use your information
- To respond to your enquiry and arrange the service you asked about
- To contact you using the method you selected
- To connect you, where you have asked us to, with an attorney or other licensed professional
- To keep a record of the work we have been asked to do
- To protect the website against spam and abuse
We do not sell your personal information, and we do not share it for advertising purposes.
When we share information
We share personal information only in these situations:
- With your direction. If you ask us to connect you with an attorney, a licensed professional, or another provider, we share what is needed to make that introduction.
- With service providers. Companies that operate this website and deliver our messages — such as our hosting provider and our email or form delivery provider — process this information on our behalf and are not permitted to use it for their own purposes.
- Where the law requires it. If we are legally required to disclose information, or need to do so to protect someone’s safety or our legal rights.
Sensitive information
Please do not send government identification numbers, immigration case numbers, financial account details, passwords, or medical information through the forms on this website. If a document containing sensitive details is needed for the work, we will arrange a more appropriate way to receive it.
How long we keep it
Choosing a language changes the website interface. We remember your choice for one year in a preference cookie and in this browser's local storage. It also supplies the default service language on request forms, which you can change before submitting. Choose English to switch back, or clear this website's browser data to remove the saved preference.
When our staff workspace is enabled, enquiries are stored in our customer management database as well as being sent to our configured message provider. Authorized staff can assign requests, record internal follow-up notes, and update their status. We keep a history of those actions to support accountability. Staff sign-in uses an essential session cookie; account access changes and password changes invalidate existing sessions.
We keep enquiry information for as long as needed to respond to you and to maintain a reasonable business record of the work, and then delete or anonymise it. Anti-spam records of recent submission times are short-lived and are not used to build a profile of you.
Security
This website is served over an encrypted connection, and access to submitted enquiries is limited to the people who need it. No method of transmission or storage is completely secure, so we cannot guarantee absolute security.
Your choices
You may ask us what personal information we hold about you, ask us to correct it, or ask us to delete it. You may also ask us to stop contacting you at any time. Depending on where you live, you may have additional rights under state privacy law. To make a request, contact us using the details on our contact page.
Children
This website is intended for adults. We do not knowingly collect personal information from children through this website. Where we help a family, we deal with the parent or guardian making the request.
Changes to this policy
If we change this policy, we will update the date at the top of this page. Continuing to use the website after a change means you accept the updated policy.
